Small business guide
What this tool helps you do
Use this free invoice generator to build a clean, professional invoice in about a minute and download it as a PDF. Add your logo, list your line items, set a tax rate, and the totals calculate as you type. It is built for freelancers, contractors, and small businesses that need to bill a client now without signing up for accounting software.
Everything happens in your browser. Your business details, your client's information, and your numbers never leave your device — nothing is uploaded, and nothing is stored. When the invoice looks right in the live preview, download the PDF and send it.
How to use this tool
- 1
Enter your business name, address, and contact details, and optionally upload a PNG or JPEG logo.
- 2
Add the client's name and details in the bill-to section.
- 3
Set an invoice number, issue date, and due date so the invoice is easy to track and reference.
- 4
Add a line for each product or service with a description, quantity, and rate. The amount and subtotal update automatically.
- 5
Set a tax rate and any discount, add payment notes, then click Download PDF.
Formula
Line amount = quantity × rate. Subtotal = sum of all line amounts. Discount is applied to the subtotal, then tax is charged on the discounted amount. Total = subtotal − discount + tax.
- The discount is taken off the subtotal before tax is calculated, which matches how most jurisdictions expect tax to be applied.
- Tax is charged on the after-discount amount, not the original subtotal.
- Set the tax rate to 0 if you are not registered to collect sales tax or VAT.
- Choose the currency that matches your client and pricing; the totals format to that currency.
Examples
Freelance design invoice
A freelance designer bills a client for two days of design work and a set of revisions.
Inputs
- Line 1: Brand design — Qty 2, Rate $500
- Line 2: Revisions — Qty 3, Rate $100
- Tax rate: 8%
Result
Subtotal is $1,300, tax is $104, and the invoice total is $1,404.
The line items make the work transparent to the client, and the tax line keeps you compliant without extra math.
Invoice with an early-payment discount
A contractor offers a 10% discount and still charges tax on the discounted amount.
Inputs
- Line 1: Site prep — Qty 1, Rate $800
- Line 2: Installation — Qty 1, Rate $500
- Discount: 10%
- Tax rate: 8%
Result
Subtotal is $1,300, the 10% discount is $130, tax on the $1,170 balance is $93.60, and the total is $1,263.60.
Applying the discount before tax lowers both the balance and the tax charged, which is the correct order in most places.
Key terms
Line item
A single billable product or service on the invoice, with its own description, quantity, and rate. The line amount is quantity times rate.
Subtotal
The sum of all line amounts before any discount or tax. It is the base the discount and tax are calculated from.
Invoice number
A unique reference for the invoice. Sequential numbering (INV-001, INV-002) keeps your records organized and makes payments easy to match.
How to interpret the result
A clear invoice gets paid faster
Itemized descriptions, a visible due date, and a single obvious total reduce back-and-forth and make it easy for the client to approve and pay. Vague invoices invite questions and delays.
Match the tax treatment to your situation
If you are not registered to collect sales tax or VAT, leave the tax rate at 0. If you are, use the rate that applies to the client's location and the correct order of discount-then-tax so the numbers hold up.
Common mistakes
- Forgetting an invoice number or due date, which makes the invoice hard to track and slower to pay.
- Charging tax on the pre-discount subtotal instead of the discounted amount.
- Leaving line descriptions vague, which invites questions and payment delays.
- Not keeping a copy — download and save the PDF, since this tool stores nothing for you.
Frequently asked questions
Is this invoice generator really free?+
Yes. It is completely free, with no signup, no account, and no watermark on your PDF. Create as many invoices as you need.
Is my data stored or uploaded anywhere?+
No. The invoice is built entirely in your browser and the PDF is generated on your device. Your details and numbers are never sent to a server, so save the PDF yourself once it is ready.
Can I add my own logo?+
Yes. Upload a PNG or JPEG and it appears on the invoice and in the downloaded PDF. The logo stays on your device like everything else.
How do I calculate tax and discounts on an invoice?+
Add up the line items for a subtotal, subtract any discount, then apply the tax rate to the remaining amount. This tool does it automatically — you just enter the rate and discount.
What should every invoice include?+
Your business details, the client's details, a unique invoice number, the issue and due dates, itemized line items, the subtotal, any tax, and a clear total. Payment terms or bank details in the notes help you get paid on time.
Can I use this for international clients?+
Yes. Pick the currency that matches your pricing and the totals format accordingly. Set the tax rate to whatever applies to your arrangement, or 0 if none.
